GENERAL PURPOSE OF THE JOB:
As the Payroll Supervisor, you will oversee all aspects of payroll processing, ensuring accuracy, compliance, and efficiency. This role involves maintaining confidential payroll information, ensuring compliance with wage and hour laws, managing HRIS and payroll systems, and collaborating with HR teams, auditors, and external partners. The Payroll Supervisor will also analyze payroll data, oversee benefits deductions, provide leadership to payroll staff, and contribute to process improvements and special projects.
PEAK PERIODS:
This role requires flexibility and adaptability during critical transition periods including October, November, March, and April, when extended hours and limited time-off may be necessary. Reliable attendance and punctuality are essential to maintaining smooth workflow and team success. During these times, the Payroll Supervisor must adjust their schedule as needed and promptly communicate any changes or unexpected absences to minimize disruptions. While the primary focus is payroll supervision, additional duties may occasionally be assigned during peak or urgent operational needs.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Payroll Processing & Compliance
- Ensure accurate payroll processing by verifying time records, calculating pay, and managing checks or electronic transfers.
- Maintain compliance with federal, state, and company policies, including wage and hour laws, wage assignments, garnishments, and payroll tax liabilities.
- Audit and resolve payroll discrepancies, unclaimed or damaged checks, and variances in payroll accounts.
- Provide guidance and support to payroll team members, manage shared email accounts, and oversee payroll supply inventories.
- Collaborate with HR, benefits administrators, and external auditors to resolve compliance issues and implement process improvements.
- Update HRIS and payroll systems with employee changes (e.g., exemptions, status updates, deductions, and paid time off).
- Perform weekly audits of 401(k) contributions, employee benefits (medical/dental deductions), and monthly benefit invoices for accuracy.
HRIS & Benefits Management

- Balance payroll-related invoices and collaborate with accounting to ensure timely payments.
Reporting & Auditing
- Generate and analyze payroll data, employee census reports, and pay comparisons to support decision-making.
- Organize payroll documents for financial audits and respond to auditor inquiries.
- Prepare weekly and monthly compliance audits to validate payroll accuracy and adherence to contractual agreements.
- Participate in payroll and benefits-related projects to improve systems, processes, and overall efficiency.
- Prepare payroll materials and presentations for leadership training, covering topics such as time tracking, sick leave, and wage law basics.
- Perform additional responsibilities as assigned to meet organizational goals.
SUPERVISOR RESPONSIBILITIES:
- Assign goals for performance and deadlines that are in accordance with company’s mission
- Organizing workflow, delegating, and ensuring staff understand individual responsibilities
- Oversee employee productivity and provide constructive feedback and coaching when necessary
- Ensure all operations are executed efficiently so as to ensure profitability and sustainability
- Oversee the distribution of paychecks or arranges direct deposit programs
- Superintend timekeeping and personnel records, including performance evaluations
- Foster a collaborative and supportive team environment, ensuring effective communication, coordination, and teamwork among team members
- Maintain compliance to company policies, procedures, and safety practices and addressing disciplinary actions when required
EDUCATION AND/OR EXPERIENCE/QUALIFICATIONS:
- Bachelor’s degree (B.A.) in Business Administration, Accounting, Finance, or a related field from a four-year college or university. Equivalent combinations of education and experience will be considered.
- Fluent in speaking, reading and writing Spanish required
- Minimum of 2-3 years of related payroll experience, with at least 1 year in a supervisory or leadership role preferred. Prior experience with multi-state payroll, wage and hour compliance, and benefits administration is highly desirable.
- Proficiency in Microsoft Office Suite, particularly Excel (e.g., pivot tables, v-lookups, and formulas). Experience with HRIS and payroll systems such as ADP, UKG, or similar platforms is required.
- Ability to work occasional Saturdays and evenings
- Work onsite and meet position’s attendance schedule, as required by the job.
