The Environmental Health & Safety (EHS) department is currently seeking an outstanding candidate for the position of EHS Document Control Specialist, someone who can support and enhance our safety culture and compliance systems.
GENERAL PURPOSE OF THE JOB: The EHS Document Control role at True Leaf Farms plays a critical role in supporting Environmental, Health, and Safety (EHS) programs by managing the accuracy, accessibility, and compliance of all related documentation. This individual works closely with the EHS team and cross-functional departments to ensure timely reporting, consistent version control, and strong documentation practices aligned with regulatory and internal standards. The role also contributes to the generation of safety performance metrics and helps maintain audit readiness. In addition to document control responsibilities, the position will also support the Worker’s Compensation Supervisor with miscellaneous tasks and requests, as assigned and trained.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Organize, maintain, and archive EHS documents—including policies, procedures, inspection records, incident reports, training logs, and compliance forms—in both digital and physical formats.
- Implement and manage document control procedures that ensure accurate version tracking and regulatory compliance (OSHA, EPA, ISO 45001, CTPAT, etc.).
- Coordinate the review, revision, and distribution of updated EHS documents across departments.
- Generate and maintain weekly/monthly reports on EHS Key Performance Indicators (KPIs), including both leading indicators (e.g., safety observations, training completion) and lagging indicators (e.g., injury rates, incidents).
- Support internal and external audits by ensuring documentation is complete, organized, and readily accessible.
- Assist in the development and maintenance of templates, logs, checklists, and forms for safety and compliance programs.
- Provide guidance and basic training to team members on document control procedures, storage protocols, and version accuracy.
- Serve as a point of contact for document retrieval, revisions, and compliance-related forms.
- Collaborate with departments such as HR, Quality, Maintenance, and Production to promote consistent and efficient EHS documentation practices.
- Stay informed about changes in industry standards and EHS regulations to support continuous improvement efforts.
- Support the Worker’s Compensation Supervisor with administrative and document-related tasks as requested and trained, including but not limited to data collection, form processing, and case file organization.

EDUCATION AND/OR EXPERIENCE:
- High School Diploma or GED required; Additional training or certification in document control, records management, or occupational safety is a plus
- Minimum of 2–3 years of progressive experience in document control, records management, or compliance support
- Experience in a safety, manufacturing, quality, or regulatory compliance environment is preferred
- Solid understanding of document control principles, including file organization, version control, and retention schedules
- Familiarity with EHS standards and regulations (OSHA, EPA, ISO 45001/14001, CTPAT, GMP, HACCP)
- Proficiency in digital document platforms (e.g., SharePoint, Google Workspace, or similar systems)
- Mid-level proficiency in Microsoft Excel, Word, and PowerPoint is critical
- Ability to generate and edit professional documents, build and maintain spreadsheets, create reports and presentations
- Training will be provided to enhance proficiency and support ongoing skills development
- Fluent in Spanish (spoken, written, and read); English proficiency strongly preferred
- Strong attention to detail and organizational skills
- Excellent communication and teamwork abilities, with the ability to work across multiple departments
- Capable of managing multiple tasks and meeting deadlines in a fast-paced environment
- High level of professionalism and discretion when handling confidential documentation
